Job Overview:

We are seeking a highly organized and proactive Assistant to provide administrative support and assist with the day-to-day operations of our team. The ideal candidate is detail-oriented, an excellent communicator, and capable of managing multiple priorities in a fast-paced environment. This role is ideal for someone looking to grow in a professional setting while supporting key organizational functions.

Key Responsibilities:

  • Manage schedules, appointments, and meetings for team members.
  • Handle phone calls, emails, and other communications with professionalism.
  • Prepare reports, presentations, and documentation as needed.
  • Assist with invoice and expense management.
  • Assist in planning and organizing events, meetings, and other team activities.
  • Coordinate travel arrangements and accommodations for executives or team members.
  • Maintain office supplies and manage office operations as necessary.
  • Conduct research and compile data to support projects or decision-making.
  • Assist with ad-hoc tasks as needed to support the team and company.

Requirements:

  • Must be fluent in English
  • High school diploma or equivalent; additional education or certifications are a plus.
  • Proven experience as an Assistant or in a similar administrative role.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
  • Ability to handle sensitive information with confidentiality.
  • Strong problem-solving skills and ability to work independently.

Preferred Skills:

  • Experience with scheduling software or project management tools.
  • Ability to multitask and adapt in a dynamic environment.
  • Attention to detail and a positive attitude.

Time: Full-time (office hours) 9:00 AM – 6:00 PM (1h break hours)
